With an annual revenue of approximate?ly $800 million, th??e company specializes in the nationwide distribution of food and beverage products, serving supermarkets, grocery chains, and convenience stores throughout the country.

While the demands are continuously rising, the need ?to upgrade the operational system is a critical must for clients?operational sustainability. The client’s current systems encountered several challenges, notably including:

  • The current system was outdated and hard to optimize due to being programmed with a legacy coding language.
  • Data processing in the old system could only be performed through a manual, summarized methodology.
  • The client struggles to select between performing a complete redevelopment or just restructuring the current system due to several factors (Eg: Alignment with the Logistics system, possibility of business interruption?

As a result, the client seeks the most optimal solution for restructuring the current system, aiming to enhance performance for future scale without disrupting business operational aspects. And the first interaction of the client with NTQ Japan’s team began. In this project, NTQ Japan served as a strategic partner to the c??lient, participating in a comprehensive process that spanned from defining requirements and evaluation to navigating a solution th??at fully met the client’s expectations.

Finding The Perfect Balance

Regardless of having a handful of experiences in system modernization/legacy migration, this project poses numerous challenges for NTQ Japan’s team. Among several aspects, one of the most significant barriers is that the client has never cooperated with an offshore partner before, which possibly becomes a doubt that affects the client’s decision-making process. This factor might greatly interfere with NTQ Japan’s ability to compete with other service providers joining this pitch.

Challenging Pain Point

In terms of technology, the project presented a particularly tough challenge: the client’s core systems were written in COBOL, a legacy programming language that is ??now rarely used and unfamiliar to most modern engineering teams. This created an additional layer of complexity in understanding the system structure, evaluating migration pathways, and proposing an optimized modernization approach within a constrained timeline.

Decode The Challenges

Upon identifying the full scope of the project’s complexity, from the cli??ent’s hesitations to the technical intricacies, NTQ Japan began its proposal journey with precision and strategic care. Through a meticulous analysis of the business requirements, industry context, and system architecture, the team shaped a comprehensive and convincing proposal built upon the following key pillars:

  • Application of Generative AI: Most notably, NTQ integrated its proprietary tool NxDev, leveraging GenAI capabilities to analyze the current situation and propose optimal migration routes. This allowed the team to outperform traditional methods in both accuracy and speed significantly.
  • Clear estimation using Lines of Code (LOC): The team presented a structured LOC-based estimate, backed by data and technical rationale, giving the client a clear understanding of scope and effort.
  • Selection of a dedicated expert team: NTQ Japan ensured that only qualified engineers with both technical proficiency and experience in legacy system migration were assigned to the project, reinforcing confidence in delivery capability.
  • Consistent, transparent communication: Frequent and open discussions were maintained throughout the proposal process, helping the client clarify requirements, align expectations, and build mutual understanding.

The Result

With persistence, consistency, and a deep understanding of the client’s needs, NTQ Japan has won the project after nearly one year of continuous dedication, culminating in the signing of a million-dollar cont??ract.

Throughout the process, the team overcame multiple significant challenges ?from the client’s initial concerns about working with an offshore partner to intense competition from other vendors. This outcome is not merely a signed agreement; it reflects NTQ Japan’s ability to earn the client’s trust through dedicated effort, a practical approach, and a commitment to act as a real strategic partner

This project marks not only a meaningful step forward for NTQ Japan but also a reminder of what it takes to build long-term, trust-based partnerships in the enterprise IT landscape. In a market where expectations are high and every detail matters, the ability to listen, adapt, and deliver with discipline will continue to be the foundation of NTQ’s approach.

As the project is about to kick off, NTQ Japan remains committed to delivering value with consistency, ensuring both technical quality and a spirit of collaboration that aligns with the client’s long-term goals. This is the beginning of a shared roadmap built on trust, responsibility, and sustainable growth.

Mr. Nguyen Phi Dung, recognized by the Vietnam Records Organization as the largest collector of printed newspapers issued in Vietnam from the late 1?9th century to the present day, currently holds over 400,000 press publications, including more than 100 newspaper titles published before 1954. With the desire to preserve and share this cultural tre??asure with future generations, he collaborated with NTQ to develop a comprehensive plan to digitize this immense archive, enabling easier access for scholars, researchers, and history enthusiasts.

To fulfill this aspiration, NTQ will provide advanc??ed archival solutions that go far beyond simply scanning and uploading documents. The digitization system will integrate AI-powered tools capable of automatically identifying? pages, restoring torn or damaged parts, and converting the content into searchable, accessible digital data. In the future, the system is expected to handle curved or bound pages without the need to disassemble the original materials.

“When we first started exploring solutions, we found high-end German scanning machines that could technically handle the job. However, it might take more than billions to purchase this system, while taking a long time to deliver. Therefore, we decided to make our. Therefore, we decided to set up our scanning machines and develop the software ourselves. After successfully testing with over 1,000 issues and receiving approval from Mr. Dung, we believed that there were numerous opportunities to establish more similar systems. According to our plan, we aim to complete the entire newspaper digitization project by September 2, 2026,?shared Mr. Bui Duc Chuong, NTQ co-founder and project lead, in an interview with Vietnamnet.”

As the project’s technology partner, NTQ is honored and proud to contribute its digital expertise to preserving a precious part of the nation’s cultural and historical legacy. This initiative highlights how tech??nology can s??erve as a bridge between the past, present, and future. We hope this effort not only plays a key role in forming sustainable heritage preservation models but also introduces new, inclusive ways to preserve and share Vietnam’s rich traditions with generations to come.
